Minibus lending agreement

  • Before the keys are handed over, we must check the Licence details of each driver. Please follow the instructions at: https://www.gov.uk/view-driving-licence and obtain a code for the check to be made. This check is to ensure each driver does not have any undeclared motoring convictions. It remains the ultimate responsibility of the driver to ensure that they meet the legal requirements to drive each vehicle.
  • Each group must have their own Section 19 minibus permit for each vehicle that is borrowed, in line with the requirements of our current insurance policy.
  • Minibuses will only be leant to other Scout groups within York Ebor district and will not be leant to any organisation outside of Scouting.
  • Our minibuses must not be used for any towing. The tow-bar has been removed/locked out of use.
  • We reserve the right to refuse lending, at our discretion, for any reason.
  • The fuel tank will be full on departure and must be full on its return. If the bus has been returned without a full tank, the cost of replacing the missing fuel will be charged to the user at the current rate for fuel plus 10p per litre.
  • You must record the start and end mileage readings in the logbook in the bus.
  • Before your journey, you must familiarise your self with the documents the Vehicle information folder.
  • You must ensure that, to the best of your ability, the vehicle is road worthy before each journey. The driver is responsible for ensuring this and it is not the liability of Dringhouses Scout Group. This includes, but is not limited to ensuring that all external lights are working correctly, tyres are of the legal minimum tread depth, etc…
  • Any issues, defects or faults with the vehicle must be reported to the Transport Manager.
  • We reserve the right to cancel a booking no less than 8 weeks before the start of the lending period. 
  • Insurance is provided on a Fully Comprehensive basis with a £150 fire, damage and theft excess, which must be paid by the party borrowing the bus, in the event of a claim being made following accident, damage or incident during the period that the vehicle has been borrowed. 
  • The cost of repairs for any damaged caused to the bus and or third parties as a result of the vehicle being driven in a manner that voids our insurance policy, will be met by the user.
  • Any fines or fixed penalties that are incurred during the dates of lending as detailed below will be the responsibility of the user and not of Dringhouses Scout Group.
  • Our Insurance policy does not cover:
    • Drivers under 25 years, 
    • Drivers who have held a full UK Driving Licence for less than 2 years,
    • Drivers who have been declined insurance,
    • Drivers with any endorsements of their licence, 
    • Driver over 70 years.
  • Additionally:
    • You must declare any medical conditions that impair your ability to drive to our insurer.
    • You must declare any non-motoring convictions to our insurer.
  • The User of the bus must have a valid minibus permit that is displayed in the vehicle during its use.
  • With the exception of the personal effects of any passengers, equipment and luggage must not be stored or transported inside the minibus(es).
  • Arrangements to collect the keys are to be made with at least 72 hours’ notice to the transport manager.
  • With the exception of assistance dogs, animals are not permitted in the minibuses. The transport manager must be notified if an assistance dog will be travelling in any minibus.
